How to organize your bingo fundraiser

Below are the key check points for organizing your bingo fundraiser.

1. Arrange a fundraiser team - if possible

If you have responsible colleagues and friends with an interest in your cause then involve them from the start. Decide on a few mutually convenient dates, get ideas for a venue, set up a list of possible sponsors.

2. Arrange a venue

You will need a venue large enough to hold your intended bingo audience. Most bingo events have from 40 to 80 people - larger ones can have as many as 200 people or more.

Suitable venues can be pubs, bars, hotels, club premises, halls or college lecture theatres. Make sure that there is adequate seating space.

You may wish to think about facilities for refreshments. At most events coffee, tea, sandwiches and soft drinks will be appropriate. If the venue has its own bar then the owners should be pleased to offer it to you as they will have a captive audience for sales. If your venue does not have a bar then you may wish to organise one yourself to raise extra funds on the night. Otherwise you can simply ask everyone to bring their own drinks. Many venues have video screening equipment which can save you the need to organise this yourself.

3. Arrange bingo prizes 

Identify local companies or organisations which might donate a prize for your bingo event. For a small fundraiser, you may wish to bring in the local butcher, the plumber, the garage, the electricians etc. For higher profile larger fundrisers you wish to try your luck with the local supermarket(s), factory(s) or prestigious store(s). Just bear in mind that larger organisations will need more time to organise a prize than smaller businesses which can often make an immediate decision.

4. Arrange equipment

To screen your bingo event you will need a DVD player or a standard Video Player, sound amplifiers, a large television screen for small audiences or for larger audiences, a projector and big screen.

Some venues will have these readily available but if you need to organize a projector and big screen then ask around amongst your colleagues first to see if you can borrow one, hiring one can be expensive.
